Top 8 questions from the Q2 Archibus virtual user group

Our latest Archibus virtual user group featured a panel of experts who shared the latest updates, tips and tricks, expert strategies, and a demo of Archibus OnSite. Here are the key takeaways from attendee questions.

1. What areas should organizations focus on to ensure there are meaningful outcomes of their objectives and shared information is in line with business growth?

We recommend a “lead with strategy” approach. This is usually accomplished with some consulting that aligns organization goals, departmental goals and how technology is being used to drive those outcomes. Sometimes, the higher priority initiatives can be anchored on enterprise architecture and data strategies, while others can be anchored on individual departmental goals, cost reduction, sustainability, process efficiencies, revenue growth, etc.

2. What version of Archibus includes the OnSite module?

OnSite was introduced in Archibus version 26.3. The webinar featured the latest version, which is available for 2023.02 onward.

3. Is the OnSite app able to scan QR codes?

Yes, both QR codes and barcodes are supported for OnSite.

You can access Archibus Workplace via your phone two ways: You can use a web URL, and there is a dedicated mobile application.

4. Can our developers modify the OnSite application (i.e., customize the workflow and how it manipulates the database, and add features to better fit out users), similar to the older mobile app?

Currently, the ability to modify OnSite is not available.

5. Is the old app going to be discontinued?

There have not been any announcements to date about discontinuing the current mobile framework.

6. When you stop the labor timer, are you able to edit the time entry before you save it?

Yes, you can modify the time entry after stopping the timer. This feature is available in case someone accidentally leaves the timer running.

7. What other product innovations are currently offered?

In version 2024.02, Eptura released an update to the Reservations module and Microsoft Outlook integration, so users can book rooms directly from the web-based Microsoft Outlook 365 without having to install any local plug-in or software.

This newest release also establishes an integration between Archibus and Eptura Visitor (Proxyclick) to allow for easier visitor management and access. Get more information on both of these features.

8. We are interested in additional reporting and dashboarding capabilities in Archibus. Does JLL provide any non-standard reporting or data analysis?

Yes, we’ve developed several dashboards and KPIs that are offered to our Managed Services customers. These dashboards focus on specific areas of the product, like space or maintenance as well as overall system performance, system usage, and data quality control. Purpose-built based on our experience with customers and their needs, these dashboards provide insight into not only your data, but also how your Archibus instance is being used and by whom.
